As employers, you want to keep your employees safe and healthy. Getting vaccinated against COVID-19 is one of the best ways to protect yourself and everyone around you. When a vaccine becomes available to you, you can count on Workforce Health to offer safe and easy ways to receive it.
As the COVID-19 pandemic continues to impact our lives and our community, we know many people are anxious to receive one of the COVID-19 vaccines authorized by the Food and Drug Administration (FDA) for emergency use.
- As supply is available, we will offer the vaccines as broadly as we can, following Centers for Disease Control and Prevention (CDC) and Wisconsin Department of Health Services guidelines.
- We will keep our clients, patients and community informed when the vaccines are available.

Due to the limited supply of COVID-19 vaccine received from the state, we are not able to schedule new first-dose vaccination appointments at this point. When we learn that additional supplies of the vaccine are available to us through the state, we will resume offering vaccinations in accordance with CDC and state guidelines.
How do I sign up eligible employees to be vaccinated?
Educators: Local and tribal health departments will make decisions about when and where to vaccinate educators and child care workers and others in group 1b. The Froedtert & MCW health network will partner with local and tribal health departments, school districts and child care facilities to administer vaccines from the state that are reserved for educators.
Other employers, complete the Employer Vaccine Interest Form for your employees who live or work in the state of Wisconsin. When your team is eligible for vaccinations and vaccines are available, our team will inform you of the next steps.
How do employees schedule their vaccination appointments?
During the appropriate phase, you will upload a list of eligible employees from the state of Wisconsin. Those employees will receive an e-mail from the Froedtert & the Medical College of Wisconsin health network inviting them to download the Froedtert & MCW app, create or connect their MyChart account and schedule their first-dose appointment at a location where and when vaccine is available.
There are several things your team members can do to prepare in advance of receiving their invitation.
What if my employee doesn’t have e-mail or a phone?
Invitations to receive the COVID-19 vaccine are sent to your employees via e-mail. You will need to supply an e-mail address, and they will need to have access to an internet-enabled device to accept the invitation and schedule appointments

Where does my team get vaccinations through the Froedtert & MCW health network?
When your employees access the Froedtert & MCW app to create or link their MyChart accounts, they will receive a list of available vaccination locations.
COVID-19 vaccines are NOT being distributed in our Occupational Medicine Clinics at this time.
How much does the COVID-19 vaccine cost?
Vaccine doses will be offered at no cost. There is, however, an administration fee to be vaccinated, and it is covered by all major health insurers. Froedtert & MCW health network will not bill uninsured patients for the administration fee. There will be no out-of-pocket cost to individuals for the vaccine or administration.
Can family members of employees get vaccinated?
State guidelines for phase 1a and 1b outline vaccine distribution and limit invitations to those who meet the criteria within the appropriate phase. Only these people will be permitted to receive the vaccine.
Is the vaccination mandatory for employees?
The COVID-19 Moderna and Pfizer vaccinations have been approved under an emergency use authorization (EUA) by the Food and Drug Administration. In general, it is not recommended that an employer mandate these vaccines at this time. Please consult with your professional organizations and legal counsel for further information on this.
If my employees get vaccinated, can we stop requiring temperature checks, wearing of masks and other measures in the workplace?
No, your employees should continue to follow the same safety practices at work even if they are vaccinated.
Can an employee decline the invitation to be vaccinated?
Yes, employees can decline the invitation to be vaccinated. This will not impact their access to vaccinations in the future.
- Who do I contact if I’m having trouble accessing MyChart to schedule my vaccine appointments?
Will my employer receive any personal health information or know that I have been vaccinated?
Your employer is involved with the invitation to be vaccinated, often by providing your e-mail address. If your employer is paying for the vaccination administration and has requested this information, they will receive it only if you have provided authorization to release this information.
Who should I contact if I do not receive an invitation from Froedtert & MCW health network as my employer said that I would?
Check with your employer. They can connect with Workforce Health to resolve the issue.
